About the Faculty of Medicine Welcome to the University of Ottawa Faculty of Medicine, the first and largest bilingual medical faculty in Canada. Position purpose: Reporting to the Program Manager, Using a wide variety of tools, techniques and skills, the Project Coordinator is responsible for developing, administering, and evaluating projects for the Centre for Indigenous Health Research and Education at the Faculty of Medicine. Responsible for ensuring the project and engagement activities align with the Faculty’s Strategic Plan and the Centre’s values and principles, as well as the Calls to Action of the Truth and Reconciliation Commission and the United Nations Declaration on the Rights of Indigenous Peoples. Responsible for executing logistical activities related to the delivery of programs while developing and maintaining communication platforms and strategies.
In this role, your responsibilities will include:
Project Coordination: Performs a variety of operational functions related to the delivery of a program in the context of a service, academic, community or research environment. Manages multiple projects, including all operational activities around project delivery efficiently and within budget. Troubleshoots unanticipated complications within the scope of program execution and implements creative solutions to ensure operational continuity. Evaluates and adjusts project activities based on feedback from participants and stakeholders. Maintains accurate records for key historical data, program metrics, and reporting to internal and external stakeholders.
Community Engagement: Ensures project initiatives align with the values and principles of Indigenous community engagement, as defined by our First Nations, Inuit and Métis partners and stakeholders. Plans, facilitates, and participates in stakeholder and community projects that harness a wide range of engagement techniques, while respecting Indigenous protocols. Works to ensure strategies are in place to support self-determining participation by and accountability to Indigenous community members in university activities. Develops a strong rapport and relationships with stakeholders and community groups to allow for open and constructive communication for the purpose of strengthening the Centre’s mandate. As a representative of the Centre, may attend various advisory committees, working groups and round tables, both internally and externally. Exercises a high level of diplomacy and discretion in all interactions.
Communications: Proactively works to build a positive image, increase reputation and awareness of the activities of the Centre. Generates content and manages web and social media channels so the information is seamless across the platforms. Ensures material is presented in a way that is accessible to a variety of audiences and coordinates improvements to maximize the effectiveness of available tools. Ensures materials are co-developed with stakeholders as appropriate and ensures all communication materials are presented using language appropriate to community and stakeholder needs. Collaborates with Faculty and University and communications teams in updating content to the web, social media and other platforms, while ensuring that University guidelines are respected.
Program Evaluation: Participates in the evaluation of the projects. Under the direction of the Program Manager, is involved in developing evaluation plans, data collection, analysis, and synthesis as well as report and manuscript writing and knowledge dissemination.
Supervision: Supervises students as needed for project delivery and ensures their work complies with established standards and directives.
What you will bring:
Knowledge of administration, project management and marketing & communication principles normally acquired through postsecondary studies or an equivalent combination of training, education, and experience
Minimum five years of demonstrated experience in a similar role
Strong organizational skills and attention to detail in a fast-paced environment
Demonstrated ability in project management, including planning and managing projects with responsibility for administration (financial management, data collection, evaluation, and reporting) and project implementation
Experience building and maintaining effective relationships with Indigenous communities, organizations, and stakeholders to facilitate information sharing, partnerships, and collaboration.
Knowledge of Indigenous history, traditions, and cultures, as well as an appreciation for the required cultural competencies and protocols
Knowledge of regional Indigenous community organizations
Lived experience of Indigenous cultures and way of life
Keen attention to discretion, confidentiality, and tact
Sensitivity towards social determinants of Indigenous health, including impacts of colonization, racism, and self-determination
Strong communication skills, including experience with web-design, social media and creating content required to reach different stakeholder audiences
Experience in program evaluation and/or research with demonstrated skills in qualitative and quantitative data collection, analysis, and knowledge dissemination
Experience working in a postsecondary institution or other complex organization is an asset
Experience in supervising students is an asset
Ability to occasionally work outside of normal office hours
Ability to occasionally travel outside of the region
Bilingual, French and English, spoken and written
Bilingualism: French and English (spoken and written); to be considered for this position, candidates must be rated at the Low Advanced proficiency level or higher for both oral comprehension and reading comprehension in their second official language. The rating is determined by a proficiency test designed by the Official Languages and Bilingualism Institute.
